Confidential Boston-based Life Sciences startup
Strengthening a Business-Critical Quality Workflow
The client needed a more controlled and visible operating system for moving deviation and CAPA-related work through review, approval, escalation, and closure. Delays, unclear functional handoffs, and limited visibility into backlog, aging, performance, and ownership made consistent control and timely management response more difficult.
Improving Performance Within Active Regulated Operations
The improvement work had to move forward within an active regulated environment involving multiple functional owners and an ongoing quality workload. ProPrime needed to identify the causes affecting performance, clarify responsibilities, improve management visibility, and support practical changes that the client organization could operate and sustain.
DEFINED SCOPE. DIRECT ACCOUNTABILITY.
ProPrime deployed a two-person team led by a Program Lead. The Program Lead directed the engagement, organized priorities, assessed how work was moving through the organization, and maintained alignment with client stakeholders.
The team mapped the existing workflow, established the performance baseline, identified evidence-supported causes, designed the improved future state, clarified ownership, defined performance measures, prioritized improvement actions, and supported implementation and operating handoff.
Representative Work Products
Current-state workflow map; performance baseline; cause analysis; future-state workflow; ownership model; and KPI definitions.
Dashboard requirements; response thresholds; management review cadence; standard work; implementation roadmap; and operating handoff plan.
Assess
Mapped the current workflow, established the performance baseline, and identified the causes affecting execution and visibility.
Clarify
Defined responsibilities, handoffs, decision ownership, and escalation expectations across the workflow.
Make Performance Visible
Established consistent KPI definitions, dashboard requirements, response thresholds, and management-review expectations.
Sustain
Designed the future-state workflow, established standard work and review routines, and supported implementation and handoff to the client team.
OUTCOME & IMPACT
Greater Structure, Visibility, and Operating Control
ProPrime helped convert a fragmented, high-pressure quality workflow into a more structured operating system with clearer ownership, consistent performance rules, improved management visibility, defined review routines, response thresholds, standard work, and a disciplined handoff to the client team.
The engagement demonstrated ProPrime’s ability to combine program leadership, operational improvement, performance visibility, and implementation support through a focused two-person delivery team.
This experience demonstrates ProPrime’s ability to help an emerging Life Sciences organization diagnose a business-critical workflow, clarify accountability, define meaningful performance measures, and support practical implementation through a focused and directly accountable team.
This project was delivered as a direct ProPrime engagement. The client’s identity, product information, site identifiers, specific quality events, performance data, system names, investigation details, and proprietary procedures have been withheld or generalized to maintain confidentiality.
